How the AI Form Agent works
What happens at each step, what Mayexa stores, and how to delete it.
The steps
- Add your website. WordPress, a website with the Mayexa content API, or any other website you publish to yourself.
- Mayexa checks it in the background: which fields it has, whether it accepts drafts and publishing, and its categories.
- You confirm the field matching, for example that your summary goes into the excerpt field. If the website's fields change later, you are asked again.
- Write yourself or ask for an AI draft, then edit it. AI drafts can contain mistakes; check facts before approving.
- Approve. Only the exact version, website and fields shown in the approval window are sent.
- Mayexa reads the result back from your website. Nothing is shown as saved or published until your website confirms it.
Connecting WordPress
Use an Application Password, never your main password:
- In WordPress, open Users → Profile.
- Under Application Passwords, enter "Mayexa" and click Add.
- Copy the password shown once and paste it into Mayexa with your username.
The WordPress account must be allowed to create posts (Author, Editor or Administrator). Your website needs HTTPS and its REST API turned on; some security plugins block it. You can revoke the Application Password in WordPress at any time.
Other websites
Custom websites can connect if their developer implements the Mayexa content API (mayexa-form-v1): a schema address listing the fields, and create, read and (optionally) update and lookup addresses protected by an API key.
Any other website works without a connection: prepare the content here, then copy the HTML or text, or download it, and publish it yourself.
What the statuses mean
- Waiting to send
- Approved and waiting for the background worker.
- Sending to your website
- Being sent to your website.
- Checking your website
- Sent; Mayexa is reading it back from your website.
- Check queued
- You asked Mayexa to look again.
- Not confirmed yet
- Your website may or may not have received it (for example, it did not answer in time). Mayexa never sends it again on its own. Check again, or look on your website and confirm if it is not there.
- Draft saved on website · verified
- Your website confirmed it saved the draft.
- Published · verified
- Your website confirmed it is published and returned its link.
- Not sent
- Nothing was sent, or your website refused it. The reason is shown with the item.
- Cancelled
- Cancelled before it was sent.
Your data
- Website logins (Application Password or API key) are encrypted before they are stored, are never shown again, and are used only to talk to that website. Mayexa never asks for your main website password and does not store browser cookies.
- Websites, drafts and history (including the exact version you approved) are kept until you delete them, the website, or your account.
- Files you add to an AI draft are read in your browser; the file itself is never uploaded. Only up to 12,000 characters of its text are sent, and only when you ask for an AI draft.
- AI drafts: your topic, instructions and any file text are sent to the AI provider (OpenAI) to write the draft, under that provider's API terms. Mayexa deletes this request as soon as the draft is written or fails; the draft itself stays until you delete it.
- Images are re-encoded as JPEG, held only until the upload to your website finishes, then deleted from Mayexa.
- Status records of website checks, image uploads and AI requests are deleted after 7 days; the activity log (event names only, no content) after one year.
- Mayexa's logs never contain your content, logins or replies from your website.
Deleting
- Delete stored login on a website's page removes only the login and cancels anything waiting to be sent.
- Delete website removes its login, drafts and history from Mayexa.
- Delete your account on the Account page removes everything above.
- Deleting in Mayexa never deletes anything from your website.
The Mayexa Privacy Policy also applies.
